A creative Independent agency are seeking a proactive and hands-on Project Manager and Producer with a strong background in project management to support the smooth end-to-end delivery of creative projects .
This is a hybrid role full time role 3 days in the office.
This role is ideal for someone who thrives in a fast-paced agency environment and has a passion for streamlining delivery across print, digital, OOH, radio, and social content.
You’ll be responsible for managing internal resources, overseeing workflow, and coordinating freelance talent.
You will also lead production on small to mid-sized projects, and provide continuity and oversight on larger, externally managed campaigns to ensure alignment on timelines, budgets, and resources.
Key Responsibilities:
1. Resource Management & Workflow
- Lead resourcing and casting across creative, design, and artwork teams in collaboration with creative leadership.
- Facilitate weekly workflow and resourcing meetings to ensure effective project staffing and prioritization.
- Maintain a roster of trusted freelance talent and manage onboarding, paperwork, POs, and billing in collaboration with the finance team.
- Support creative leadership with calendar management, task prioritization, and timesheet completion tracking.
- Act as the first point of contact for incoming production requests, recommending appropriate suppliers and vendors.
- Manage timing plans, budgets, and estimates in partnership with account teams.
- Oversee third-party budgets, identify opportunities for cost savings, and negotiate favourable rates.
- Coordinate asset delivery, reprographics, adaptations, and digital builds.
- Handle pre-production logistics and liaise with external suppliers as needed.
- Collaborate on talent contracts and usage rights with internal stakeholders.
- Source budgets from third-party partners (e.g., talent usage, post-production).
- Manage schedules, bookings, and session coordination.
- Ensure delivery and clearance processes are handled smoothly with partners and account teams.
- Support social teams with small-scale shoots by sourcing freelance creators, crew, and equipment.
- Assist with props, set-up, and on-the-day coordination.
- Ensure legal compliance across usage rights, contracts, licensing, and clearances.
- While these projects are externally managed, stay informed on timings and resourcing to support internal integration and workflow continuity.
- Coordinate production and updates for agency-facing materials, including:
- Office displays and digital screens
- Website and video platform updates
- Internal digital publications
- Monthly newsletters and associated content coordination
- CRM database updates for newsletter distribution
Experience
- Proven background in project management, production in a creative agency
- Track record of delivering small to mid-scale campaigns (print, digital, OOH, social, radio).
- Experience with resource planning or traffic management is highly advantageous.
- Excellent planning, budgeting, and supplier management skills.
- Strong ability to manage schedules and creative resourcing.
- Confident negotiating rates and managing freelance talent.
- Comfortable working with POs, invoices, and production administration.
- Clear and empathetic communicator with a problem-solving mindset.
- Organised, pragmatic, and calm under pressure.
- Flexible and adaptable with strong emotional intelligence.
