We are looking for a highly organised Head of Projects / Project Director to oversee the smooth and timely delivery of projects across a busy creative agency environment. This role sits at the centre of the agency’s operations, with full responsibility for project workflow, resource planning, and production delivery.
As the main coordination point for projects across departments, the successful candidate will work closely with senior leadership — including the Creative Director — to prioritise work, allocate resources, and ensure that all creative and design teams are set up to deliver their best work, on time and within budget.
The Head of Projects will collaborate with Account Management, Strategy, and Production to maintain clear and consistent communication across all teams. They will also lead key agency meetings and help maintain and evolve the agency’s internal processes.
KEY RESPONSIBILITIES
A. Workflow Management
- Manage resourcing of creative and design teams across all active projects
- Forward plan to ensure seamless, on-time delivery of work
- Own the agency’s internal process and ensure all required project meetings are scheduled and executed
- Lead the weekly meeting — the agency’s key forum for reviewing current and upcoming work
- Provide regular updates to Creative Leadership on project priorities and team capacity
- Continuously assess in-house capabilities, identifying gaps and recommending solutions
- Manage the booking and coordination of external creative and design resources as needed
- Act as Lead Producer for print-based projects, overseeing post-production, delivery, and cost estimation
- Ensure all production elements are delivered on time, on budget, and to spec
- Provide accurate scoping and timelines in collaboration with relevant teams
- Strong background in project management and programme leadership, with experience in traffic and resourcing
- Experienced in fast-paced, creative agency environments
- In-depth knowledge of agency operations, production workflows, and process design
- Working knowledge of key agency technology platforms (e.g., project management and scheduling tools)
- Confident in reviewing and improving complex internal processes with actionable recommendations
- Comfortable working across different business units or teams — building alignment while driving clear outcomes
- A fast, decisive, and solution-oriented mindset
- Commercially astute and focused on both efficiency and value
- Ability to assess and recommend staffing solutions where required
- Detail-driven and results-focused
- Forward-thinking, collaborative, and a strong team player
- Analytical, intelligent, and capable of balancing big-picture thinking with tactical execution
